Privacy Policy

We collect what the software needs to work, and nothing else. We don't run advertising trackers, we don't sell your data, and we don't sell your customers' data. The records you enter about your own customers belong to you — we hold them on your behalf and act on your instructions.
Who we are
FieldRound is field-service software for trade companies. This policy covers the FieldRound website (fieldround.com) and the FieldRound application (app.fieldround.com), together "the Service".
Two kinds of people, two different roles
This distinction matters, so it comes first.
If you run a company that uses FieldRound
You're our customer. We collect information about you and your staff directly, and we're the party responsible for it — the "controller", in the language of data protection law.
If you're a customer of a company that uses FieldRound
Your generator installer, HVAC contractor or electrician may keep your name, address, phone number, equipment details and service history in FieldRound. In that case they decide what to hold and why — not us. We store and process it on their behalf, following their instructions. We are the "processor"; they are the controller.
If you want your records corrected or removed, ask the company you deal with directly. They can do it themselves in the software. If you contact us instead, we'll pass your request to them rather than acting on it ourselves, because it isn't our data to change.
What we collect
When you use the application
- Account details — name, email address, and a cryptographically hashed password. We never store your password itself and cannot read it.
- Company details — company name, service areas, home base address, logo, and any SMTP mail settings you configure.
- Business records you enter — customers, equipment, jobs, parts, photos, invoices and payments. This is the substance of the software and it is yours.
- Security records — sign-in attempts that were refused, the IP address they came from, and the browser's user-agent string. We keep these so a pattern of attack gets noticed. They are visible only to the platform operator.
- Session cookies — a signed cookie that keeps you logged in, and a short-lived one during two-factor sign-in. These are strictly necessary; there are no advertising or analytics cookies.
When you visit the website
- Demo requests — whatever you type into the form: your name, email, company, trade, and rough team size.
- Ordinary web-server logs kept by our hosting provider.
The marketing site runs no analytics, no advertising pixels, and no third-party trackers. It loads a web font from Google Fonts, which means Google receives your IP address as part of that request; nothing else about you is sent.
What we do with it
- Run the Service: show your due queue, plan routes, send the emails you ask us to send.
- Keep accounts secure — detecting and blocking repeated failed sign-ins.
- Answer you when you get in touch.
- Bill you, if you're on a paid plan.
We do not sell personal information. We do not share it with advertisers. We do not use your business records, or your customers' records, to train machine-learning models.
Who else touches the data
We keep this list short on purpose. As of the date above:
- Hostinger — hosts the servers and database.
- Mapbox — turns customer addresses into map coordinates and works out driving order for a day's route. Addresses are sent for this purpose; names are not.
- Your own mail server — if you configure SMTP settings, emails the Service sends on your behalf go through your provider, not ours.
That's the whole list. If it changes we'll update this page.
Not yet in use: we don't currently take payments, so no payment processor receives anything. When we start, card details will be handled by Stripe directly and won't reach our servers — and this page will say so before it happens, not after.
Where the data lives
Our servers are in Europe. If you use FieldRound from the United States, your information is transferred to and stored there.
How long we keep it
- Your business records — for as long as your account is open. On request, we'll delete them.
- After you close an account — we'll give you a window to export your data, then delete it. Backups roll off on their own schedule shortly after.
- Security logs — kept while they're useful for spotting an ongoing pattern, then removed.
- Billing records — kept as long as tax and accounting rules require, which is longer than the rest.
Security
Passwords are hashed, never stored in readable form. All traffic is encrypted in transit. Two-factor authentication is available on every account and we'd encourage you to turn it on. Each company's data is separated at the database level, and every request is checked against the account making it. Repeated failed sign-ins get an address blocked automatically.
No system is perfectly secure, and anyone who tells you otherwise is selling something. What we can say is what we actually do, which is the above.
Your rights
You can ask us to show you what we hold about you, correct it, delete it, or send you a copy in a portable format. You can object to processing or ask us to restrict it. If you're in the UK or EU you can complain to your data protection authority; in the UK that's the ICO.
Bear in mind the distinction above: if your request concerns records a FieldRound customer holds about you, we'll forward it to them.
Children
FieldRound is business software and isn't intended for anyone under 16. We don't knowingly collect information about children.
Changes
If we change this policy we'll update the date at the top. For anything significant, we'll tell account holders directly rather than quietly editing the page.
